The earlier the better, and we mean that genuinely. Three months in advance is our ideal lead time, as it gives us enough time to source the right elements, develop a considered concept, and ensure everything arrives on time. Six weeks is the minimum we'd recommend, though that leaves very little room for anything that needs to be ordered in. If your ball date is approaching fast, reach out anyway and we'll always let you know honestly what's achievable in the time available.

Most schools we work with spend around $4,000 on theming though this varies depending on the size of the venue, the complexity of the theme, and which elements are included. Some schools spend more for a fully transformed room, and others spend less by focusing on the highest-impact pieces. The most important thing you can do is share your budget with us early. We're experienced at making it work and we'll always show you where to put your money for the biggest visual result.

You can use us for as much or as little as you need. Some schools come to us for a complete themed transformation from entrance to dance floor. Others come for a single element like a photo wall, a centrepiece design, or a styled entrance. Whatever you need, we can help. We don't work from a fixed theme list and that's intentional. Every school ball we create is custom-designed for that specific school, committee, and brief. Whether your theme is a classic (Gatsby, Enchanted Forest, Hollywood) or something completely unexpected, we'll develop a concept that feels fresh and specific to you. We actively encourage schools to think outside the box the more original the brief, the more we enjoy working on it.

We see a wide range of themes across the Bay of Plenty and beyond. Some favourites include Great Gatsby, Enchanted Garden, Under the Stars, Hollywood Glamour, Masquerade, and tropical or botanical themes. More recently we've seen a trend toward cinematic themes inspired by films, animated features, and specific aesthetic movements. Our advice: choose a theme that feels right for your year group rather than one that's simply been done before. We can make any theme feel current and considered.

The key is in the detail: changing the colour palette, updating the key pieces used, and approaching familiar themes from a different angle. Two schools can have the same theme and end up with completely different rooms depending on the choices made in the concept stage. We always strive to make each event unique and we don't repeat looks or reuse complete concepts from school to school.

If budget is a priority, we'd always recommend focusing on the entrance and the photo wall first. The entrance is the moment every student walks into their evening; it sets the tone immediately and creates the first impression that stays with them. The photo wall is the backdrop to every image taken on the night and the element that ends up in every camera roll and on every social media post. These two elements deliver the highest visual return for your investment. Centrepieces are another area where we can bring the committee in to help with the making which saves significantly on labour while still creating a cohesive, beautiful room.

Absolutely and we encourage it. The level of involvement is completely up to you and your school. Some committees are hands-on throughout, helping make centrepieces, attending concept reviews, and being part of every decision. Others prefer to hand the brief to us and trust us to deliver. We're genuinely happy with either approach. What we've found consistently is that students who are involved in creating their ball feel an even stronger connection to the finished result on the night.

Bring it to us. Seriously. The unusual, the ambitious, the "we weren't sure if this was possible" ideas are the ones we love most. Every theme is achievable with the right approach, the only real constraint is budget. If you have a wild idea, tell us. The worst we can say is that it needs to be scaled back slightly. More often than not, we'll find a way to make it happen.

Our team handles the complete setup - delivery, installation, and styling - typically on the day of the event. We plan the pack-in carefully to ensure everything is in place before students arrive, and we coordinate pack-out after the evening is over. You and your committee won't need to lift a finger on the day. By the time the doors open, the room will be exactly what you were shown in the concept: finished, beautiful, and ready for the night.

Once we have the theme, venue, budget, and headcount, we begin developing a full visual concept, mapping the room from entrance to photo wall to centrepieces and beyond. We source inspiration from everywhere: online, Pinterest, shops, film, and simply paying attention to the world around us. The concept is presented to the committee before anything is purchased or built, so you can see exactly what the room will look like and request any changes before we begin. Nothing happens without your approval.

Yes. Many schools have invested in their own chair covers, which we're happy to incorporate. If your school has existing props, décor, or materials you'd like us to work with, let us know at the briefing stage, and we'll incorporate them into the concept where it makes sense. Using what you already have is a smart way to stretch the theming budget further.
